Order Management Specialist

This position is responsible for prioritizing and executing order-related tasks in support of the Sales Department. This role ensures accurate purchase order review, sales order entry, compliance with pricing and contractual requirements, proactive order lifecycle management, and visibility into distributor reported inventory to support timely and accurate order fulfillment.

Job Duties include:

  • Conduct initial purchase order (PO) review to ensure accuracy, completeness and alignment with pricing, terms and contract requirements.
  • Perform sales order entry and maintenance in internal systems with a high level of accuracy and timeliness.
  • Collaborate with the Sales Team and Business & Contracts Analyst to document customer requirements, terms, and order-specific conditions.
  • Coordinate directly with customers to obtain and implement required purchase order (PO) updates in compliance with pricing contractual requirements, and internal review process.
  • Monitor and manage order lifecycle status, proactively identifying delivery or compliance risks.
  • Serve as the primary point of contact for buyers and customer representatives regarding order status, updates and changes.
  • Manage and process distributor purchase orders, ensuring accuracy, pricing alignment, and compliance with applicable agreements.
  • Coordinate with distributors regarding order status, changes, backorders, and fulfillment timelines.
  • Monitor distributor-reported inventory levels to support customer demand and order fulfillment visibility.
  • Serve as a liaison between Sales, distributors, and internal teams to address inventory availability, allocation issues, or discrepancies.

Qualifications:

  • 3+ Years’ Experience in a purchase order management or closely related role; preferably in a company with comparable products and/or practices.
  • Preferred Experience with Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations (DFARS).
